Here’s what’s new, why we made the changes, and how they’ll make your life easier.
Automatic Signing Reminders: Now More Flexible
Let’s be real—nobody likes chasing signatures. That’s why we’ve improved how Automatic Signing Reminders work. Previously, reminders only triggered 7, 3, and 1 day(s) before a document’s expiry date. But we realized that not everyone uses expiry dates, and honestly, why should you have to?
Now, you can choose to send reminders on a regular schedule—every 7, 5, or 3 days from the day the document is sent. No expiry date needed. Just pick your preferred interval and let SuiteFiles handle the rest.
Pro Tip: While it’s tempting to send all the reminders, remember, less is more. Overloading your clients with reminders might not be the vibe.
Bulk Signing Reminders: NEW Feature
Manual reminders, be gone! We’ve added the ability to send signing reminders in bulk.
Before, if you wanted to remind clients about their signatures, you’d have to do it one by one. Now? Select multiple documents, hit send, and boom—reminders are on their way. This feature is perfect for those “end-of-week cleanup” moments when you’re trying to close out outstanding signatures in one go.
Smarter Reminder Emails
We’ve also given your clients’ inboxes a little TLC. Reminder emails now include “REMINDER: Your signature has been requested” in the subject line. It’s a small but mighty change that helps clients quickly understand the context of your email (and hopefully gets them signing faster).
And yes, we heard your feedback—typing out “REMIND” to confirm a manual reminder was not a fun step. That extra hoop has been removed entirely.
Exportable Signing Dashboards for Admins
Need to keep track of all the documents your team has sent for signing? Now you can. The Signing Dashboard (find it under More > Document Signing) has a shiny new Export List button, allowing SuiteFiles Admins to export a .csv report of all documents sent for signing.
What’s in the report?
- Choose between Sent documents or All documents, depending on the tab you’re viewing.
- The list includes the file name, so keep an eye on permissions. For example, files in HR folders will show up in the report, even if they’re restricted to certain users.
Pro Tip: This is a great way to share document statuses with your team while keeping everyone in the loop. Just double-check sensitive info before hitting send.
Track Your Signing Requests with Confidence
Managing signing requests just got a whole lot easier. With the latest update to your document signing dashboard, you can now track the status of every signing request email you send.
This new feature ensures you always know whether your requests are reaching the right people and moving forward as planned. No more second-guessing or wondering if an email got lost in transit—just clear, actionable tracking information to give you peace of mind.
